Steps to Resolve QuickBooks Database Errors

Run the Rebuild Data Utility

This is the first step towards resolving any data damages is to run the rebuild data utility:

  • Navigate to the File menu.
  • Click on Utilities and Rebuild Data.
  • You should be faced with a QuickBooks information window. Click Ok.
  • Follow the rest of the steps, and save a backup.
  • Click OK once the rebuild has completed.

Run the Verify Data Utility

This is the next step involved:

  • Navigate to the File menu.
  • Click on Utilities and Verify Data.
  • If you see a message which says ‘QuickBooks detected no problem with your data’, then click on OK.
  • In case QuickBooks does find an issue with your data, then you will be faced with two other options.
  • You can either Rebuild Now or View errors.
  • Click on close, then you can do either of the following:

Review Last Verify/Rebuild

  1. Click on Review Last Verify/Rebuild.
  2. You should be able to find your error from the results screen.

Review QBWin.log

Please note that this is a method that is recommended for more advanced users. They should be able to guide you through this process better.

  1. Find your QBWin.log from among your QuickBooks data files.
  2. Go to the Open File tab.
  3. Find the log file
  4. Check the log file for errors.
    • If you are on Windows then, click on Begin Verify.
    • Alternatively, if you’re working on a Mac OS, then just scroll all the way down, you should see most recent Verify Information.
  5. Finally (and this is the most important part), you should find the line from your log file that contains LVL_ERROR. This should point you towards the best solution for it.

Re-sort lists

Resorting your QuickBooks lists should make sure that your database is in order. This is especially useful if had manually changed your list order before.

Use reports to find problematic transactions

Run your balance sheet on cash and accrual

  • Navigate to Reports.
  • Click on Company and Financial
  • Click on Balance Sheet Detail.
  • Next, go to options.
  • Select one of out of cash and accrual.

Merge Corrupted Accounts

  • Go to Lists.
  • Click on Chart of Accounts.
  • Hold the CTRL key on your keyboard, and click on the account you think is damaged.
  • Click on Edit Account.
  • Add a * sign to the account name.
  • Click Cancel.
  • Hold down the CTRL key again, and click on the account.
  • Click on New account.
  • Select the type of account.
  • Name it the same as the damaged account.
  • Edit the old account, and remove the * from its name.
  • Merge them.

Delete Memorized Transactions and Reports

Reports

  • Navigate to Reports menu.
  • Click on Report Center.
  • Then find the report.
  • Click on the X sign.
  • Select OK.

Transactions

  • Click on Lists.
  • Open Memorized Transactions in QuickBooks.
  • Select the appropriate transaction.
  • Click on Edit.
  • Click Delete Memorized Transactions.
  • Select OK.
